Email, Office, Teams and AI — one plan

There are five plans, each adding more on top of the last. Business Basic is web and mobile apps only - no desktop Office, but you get Exchange email, Teams, and 1TB OneDrive. Apps for Business flips that: full desktop Office apps and OneDrive, but no Exchange email (great if you already have email elsewhere). Business Standard gives you both - desktop apps plus Exchange. Business Premium adds enterprise-grade security on top: Microsoft Defender, Intune device management, and Azure AD Premium. Copilot Business is an add-on for any of the above that brings AI into Word, Excel, PowerPoint, Outlook, and Teams.

Copilot Business is Microsoft's AI add-on for small and medium businesses. It integrates directly into the Microsoft 365 apps your team already uses - Word, Excel, PowerPoint, Outlook, Teams - and uses your actual work content as context. So it can draft emails in your tone, summarise a meeting from the transcript, build a slide deck from your notes, or spot patterns in your spreadsheet data. It costs u20ac20.58/user/month on top of any eligible Business plan and is available for organisations with up to 300 users.

All standard Microsoft 365 Business plans include Teams. There are also "without Teams" variants (slightly cheaper) for organisations that use a different collaboration tool - but if you're going to add Teams back separately, the bundled plan usually works out better value. Microsoft 365 Business plans cover up to 300 users. You can add or remove licences at any time - new users get access right away, and removed users are deprovisioned cleanly. Yes - Microsoft is raising prices on most Business plans from July 1, 2026. The increases vary by plan, but if you subscribe now you lock in current pricing until your next renewal. If timing matters to you, it's worth acting before July.

Microsoft 365 Business Basic is the right starting point. You get a 50 GB mailbox with your own domain (e.g. you@yourcompany.com), 1 TB of OneDrive storage, Teams for meetings and chat, and the web versions of Word, Excel, and PowerPoint. No desktop apps - but for most day-to-day email and collaboration work, it's more than enough.

Microsoft 365 Apps for Business is built for this. You get fully installed desktop versions of Word, Excel, PowerPoint, Outlook, OneNote (plus Access and Publisher on PC) on up to 5 devices per user, plus 1 TB of OneDrive. Email hosting, Teams, and SharePoint are not included - but if you already have email sorted, this covers everything else at a lower price than Standard.

Both include email, Teams, and cloud storage. The key difference is desktop apps: Standard includes fully installed Word, Excel, PowerPoint, and Outlook on your devices - Basic only gives you the web versions. If you spend a lot of time in Excel or Word and prefer working offline or need richer features, Standard is worth the step up.

Premium is Standard plus enterprise-grade security: Microsoft Defender for Business, Intune device management, remote wipe for lost devices, and advanced threat protection for email. If you handle sensitive client data, have a team on multiple devices, or need to meet compliance requirements, Premium gives you the tools to manage and protect all of it. For most small teams without a dedicated IT function, Standard is a perfectly sensible starting point.
